TRIBAL ADMINISTRATION

ADMINISTRATION OFFICE


The Administrative Building houses all administrative offices, i.e., the Tribal President; Tribal Administrator; President’s Administrative Assistant; Finance Office; Property/Records Management; Wichita Tribal Tag Office; Enrollment; Tribal Gift Shop; Tribal Employment Rights and CDBG Office; Transportation and Maintenance.

 

The Tribal Administrator is responsible for the day-to-day administration and overall Program operation of all Tribal Programs, inclusive of the implementation and compliance with the Wichita & Affiliated Tribes’ Personnel Policies & Procedures. Also supervises all Tribal Program Directors and provides administrative/management type services to all Program Directors and administrative staff.

FINANCE OFFICE

 

Provides services in fiscal management, i.e., monitoring budgets to ensure compliance with Federal/State Regulations, draws down funds from funding agencies, coordinates all accounting, inclusive of payroll and vendor payments, budgeting, auditing and preparation of reports as required for various funding agencies. Also provides services related to systems operation, i.e., maintenance of the ADP facility and local area network hardware/software and communications components. These types of services are provided for all tribally operated programs.

PROPERTY/RECORDS MANAGEMENT

Services provided by this department include the following:
· Tracks inventory by program inclusive of all incoming property items acquired by the Tribe. This includes tagging property items and performing a yearly inventory.
· Maintains records/files of floor plans for buildings, maintenance/repairs, etc., GSA/tribal vehicles, Insurance coverage for buildings, contents, vehicles and/or equipment, copies of property forms, invoices, purchase orders, checks, warranties, Titles, insurance, disposals, etc.
· Makes arrangements for disposal of property items, including Property Surplus Sales and makes arrangements for use of excess tribal equipment and government property by programs.
Maintain keys for buildings, vehicles, etc.
Receives, checks in and disperses all incoming supplies ordered and works with programs and the Finance Department on any damages and returns, etc.
· Order supplies and equipment for Administration and Maintenance Department. Maintain supply catalogs.
· Sign tables and chairs out by Tribal Directors/staff to be used for Tribal programs.
· Oversee storage of Tribal records in the storage room of the Administration Building and in the Record Storage Vault, located behind the Administration Building. Research records for Administration.

The Maintenance Department provides housekeeping services to all buildings/office facilities located within the Wichita Tribal Complex/Park, including the REACH Program located in downtown Anadarko. They also keep the grass mowed and the lawns free of trash and debris at both, the tribal complex and the tribal cemetery.


When necessary, and as needed, the staff assists Program Directors with moving office furniture and records. They are also responsible for getting the dining area in the AOA Senior Nutrition building set up for General Council meetings as well as other types of meetings sponsored by other tribal programs.
